Services Management Example Application

This application supports a Not-For-Profit organization that supplies services to other Not-For-Profit and government agency clients.

The organization get grants to support its provision of services. On a regular basis (e.g., quarterly) it reports to its funding organizations what services it provided under the grants from that funder.

It was not easy for the people in the organization to record the services they provided, and they were less than fully consistent in how, when, where, and with what they made their individual records. Inevitably, some records were created retroactively with the concomitant loss of completeness and accuracy.
Then when it came time to generate reports for its financial supporters, the organization's most senior people had to expend considerable time, at least several days of dedicated effort, to collect all the individual information, collate it for each individual supporter, and create the reports.

Because the effort was so expensive, it was only done when required. There was very little time available to the organization to use that information for self-monitoring to improve their performance, and no way to make interim progress checks.

Therefore, the organization needed a systematic and consistent but simple means to capture the services it provides, ideally at the time of the provision of those services, and then to be able to retrieve and organize those records to support both the required reporting back to funding sources and moreover to monitor and analyse their efforts for their own self-evaluation.
This system would need to know about the contracts under which they operate, the people in their organization that provide the services, the kinds of organizations to which they provide their services, and the specific nature of the services and the modality by which the services were provided.
Because this information is dynamic, the system had to allow straightforward and easy maintenance of those values.

Hence, this application.

The opening screen allows the choice of three activities:

1. The entering of the provision of a service
2. The viewing of constructed reports of service provisions
3. The entering and maintenance of such items as contracts, services, service providers

Note: In the actual application, the opening screen would be a login screen, and the full set of functionality would be available to supebrvisor level personel while entry of services would be available to all workers
